TrackPro Privacy Policy

Welcome to TrackPro. This Privacy Policy explains how TrackPro, operated by RedOak Technologies LLC, collects, uses, stores, and protects information when users access TrackPro websites, applications, services, and related tools.

By creating an account or using TrackPro, users agree to the practices described in this Privacy Policy.

1. Information We Collect

Account and identity information may include name, email address, phone number, profile photo, school, club, or organization affiliation, athlete graduation year, team participation information, and login/authentication data.

Athletic and performance information may include race results, performance marks, training logs, workout data, split times, timing data, team roster information, attendance records, meet registration, event participation, recruiting preferences, and recruiting-related information.

Device and usage information may include device type, operating system, browser information, IP address, general geographic region, app interactions, feature usage, crash logs, and diagnostic information.

Optional wellness and health-related information may be collected only when a user authorizes an integration with a supported third-party health, fitness, or wearable platform. This may include heart rate, sleep metrics, recovery indicators, activity data, oxygen saturation, and other fitness-related telemetry authorized by the user.

Communications and content may include team messages, direct messages, media uploads, photos, videos, support requests, and feedback submissions.

2. How We Use Information

TrackPro uses information to provide and operate the platform, authenticate users, secure accounts, deliver team, meet, recruiting, athlete, parent, staff, and administrative features, generate analytics and performance insights, support AI-assisted summaries and platform intelligence, improve functionality and reliability, facilitate communication between users, provide customer support, prevent fraud or abuse, and comply with legal obligations.

TrackPro may also use aggregated or anonymized information to improve product performance, analytics, and platform reliability.

3. AI and Automated Analysis

TrackPro may use artificial intelligence or automated analysis systems to generate athlete performance summaries, team insights, training analysis, recruiting recommendations, operational suggestions, and related platform intelligence.

AI-generated outputs are informational tools only. They are not medical, legal, academic, eligibility, recruiting, or professional advice. Users, coaches, parents, guardians, schools, organizations, and administrators remain responsible for decisions made using TrackPro information.

4. Information Sharing

TrackPro does not sell personal information.

Information may be visible within a user's school, team, club, family account, organization, or authorized TrackPro workspace based on role permissions and product configuration. This may include visibility to coaches, athletes, parents or guardians, staff members, timers, meet hosts, and authorized school or organization administrators.

TrackPro may share limited information with trusted service providers that support platform operations, including cloud hosting, authentication, payment processing, messaging, email delivery, analytics, security, and customer support.

TrackPro may disclose information when required by law, legal process, or government request, or when reasonably necessary to protect users, prevent abuse, enforce agreements, or protect the integrity and security of the platform.

If TrackPro or RedOak Technologies LLC is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction.

5. Youth and Student Privacy

TrackPro is designed for use by athletic programs, including programs involving student-athletes and minors.

TrackPro aims to operate in a manner consistent with applicable student and youth privacy laws, including COPPA, FERPA where applicable, and relevant state student privacy laws.

Parents, guardians, schools, organizations, and authorized administrators may request review, correction, or removal of certain student information where legally applicable.

TrackPro does not knowingly collect information from children in violation of applicable law. Where parental, guardian, school, or organizational consent is required, TrackPro relies on applicable consent pathways and account controls.

6. Data Security

TrackPro uses reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, disclosure, alteration, or destruction.

No digital platform can guarantee absolute security. Users are responsible for protecting their login credentials and promptly reporting suspected unauthorized access.

7. Data Retention

TrackPro retains information for as long as reasonably necessary to provide services, maintain operational records, comply with legal obligations, resolve disputes, enforce agreements, and support legitimate business purposes.

Some athletic records, competition results, rankings, historical statistics, meet records, and team records may be retained for archival, historical, operational, or legitimate platform purposes.

8. User Rights and Choices

Depending on location and applicable law, users may have rights to access, correct, delete, restrict, or export certain personal information.

Users may also withdraw consent for optional integrations, including supported health, fitness, wearable, or third-party account connections.

Requests may be submitted through TrackPro support channels. TrackPro may need to verify identity and account authority before completing certain requests.

9. Third-Party Services

TrackPro may integrate with third-party services such as payment processors, authentication providers, analytics providers, email providers, cloud hosting providers, health or fitness platforms, wearable platforms, and communication tools.

Use of third-party services may be governed by those providers' own privacy policies and terms. TrackPro is not responsible for third-party privacy practices.

10. Cookies and Analytics

TrackPro may use cookies, local storage, session storage, pixels, analytics tools, and similar technologies to maintain login sessions, improve user experience, measure platform usage, support security, prevent fraud, and understand product performance.

Users may control certain cookie settings through their browser or device settings, although disabling some technologies may affect platform functionality.

11. Changes to This Policy

TrackPro may update this Privacy Policy periodically. Updated versions will be posted within the platform or on the TrackPro website with a revised effective date.

Continued use of TrackPro after an updated Privacy Policy becomes effective means the user accepts the revised policy.
